Job Description

Administrative Assistant ?

Bozeman, Montana Office

This position will include all administrative functions necessary for daily operations of a professional engineering and land surveying firm. Most importantly, the expectation is the provision of excellent client service. The Administrative Assistant is the initial point of contact for the public, clients, and staff and is therefore expected to maintain a professional appearance and friendly demeanor. Generally, duties will involve support for the engineering, surveying, and technical staff.



  • Management of office supplies

  • Telephone coverage

  • Mail/faxing activities

  • File management

  • General office maintenance/clean up and organization

  • Travel coordination for professional staff

  • Outside errands including maintaining office supplies, miscellaneous office recycling, and mail delivery.

  • Responsible for fleet maintenance: company vehicle maintenance such as routine oil changes, vacuuming and washing, and scheduling tire rotations, etc.  During the summer this may require working on weekends.

  • Aide to office marketing personnel as needed: Assist in the production of professional proposals and statements of qualifications.

  • Aide to accounting personnel as needed: Assist with miscellaneous file management, credit card reconciliation, and record management.

  • Support for engineering, surveying, and technical staff: assist with administrative services involving the production of letters and correspondence, spreadsheets, proofing of documents, review/typing/production of all bid specs and administration of the bidding process, running copies, word processing of numerous reports, and miscellaneous binding and/or laminating of reports and/or documents.

  • Administrative Team: Serve on the administrative team that includes the marketing manager, accounting staff, and other administrative staff. The team is responsible for ensuring professional service to clients and staff.



  • Multiline phone system, general knowledge and experience with Microsoft office suite including Outlook, Word, Excel, Project, Power Point, and Publisher, and experience with large print and copy operations.

  • A valid driver’s license and a reliable personal vehicle are required although a company vehicle, if available, must be used for most outside errands.



High School diploma.

Experience working in a professional office setting.

Occasional light lifting, bending, and driving
